Music quiz shopping list

A music quiz needs more than questions and playlists. You need reliable audio, a visible screen, enough tables and chairs, and a drinks and buffet setup that can handle the whole room. Buy or borrow the technical equipment early, especially speakers, cables, power strips and a projector. For refreshments, plan around your guest count and include water, serving tools and waste supplies. This list covers the practical items to bring, buy or arrange before quiz night.

Tips

  • Allow 1 table for every 4–6 players, then add a separate quiz table and judges’ table. Check the venue’s table and chair count before shopping for anything else.
  • Test the laptop, projector, screen, speakers, microphone and presentation remote at least 3–5 days beforehand. Keep spare audio cables, extension cords and power strips available because missing connections are a common last-minute problem.
  • For the first hour, plan roughly 2–3 drinks per person, then add water throughout the evening. Chill drinks several hours before guests arrive and set out bottle openers, reusable cups and water jugs at the drinks station.
  • Prepare at least 1 answer form per team for every round, plus 10–15% extra copies. Print the quiz materials before setup night so a printer problem does not delay the start.
  • Set up waste bins with trash bag holders and keep cleaning buckets nearby before food and drinks go out. Bring spare flashlights and check mood lighting early, since dark venues can make answer sheets and cables difficult to see.

Frequently asked questions

What equipment do I need for a music quiz?
You need a laptop, projector, projection screen, speakers, microphone, audio cables, power strips, extension cords and a presentation remote. Test the complete setup at least 3–5 days before the event, not just each item separately.
How many drinks should I buy for a music quiz?
Plan for about 2–3 drinks per person during the first hour, then add water for the rest of the evening. Buy a small buffer of around 10% and chill the drinks several hours before guests arrive.
How many tables and chairs do I need for a music quiz?
Allow 1 table for every 4–6 players, with enough chairs for every registered guest. Add one quiz table and one judges’ table, and confirm the venue’s furniture at least 1 week ahead.
What should I print for a music quiz?
Print one answer form per team for each round, plus 10–15% spare copies, along with any score sheets and quiz materials. Finish printing at least 1 day before the quiz so you have time to correct missing pages.
