What you need for a municipal council meeting

A municipal council meeting needs more than tables and chairs. Plan supplies for council members, speakers, staff and the public, with separate arrangements for documents, microphones, presentations and refreshments. Buy or collect disposable and reusable items early enough to test the equipment and print the final papers. This checklist helps you estimate quantities and avoid the items most often missed before the chamber opens.

Tips

  • Count one chair per attendee plus 5–10% spare capacity, and provide a separate table or reception point for registrations, name badges and meeting documents.
  • Allow two coffee cups and two water glasses per expected attendee for a long meeting, then add 10% extra. Check dietary requirements before ordering catering so missing alternatives are not discovered at the reception desk.
  • Print at least one complete meeting pack for every council member and speaker, plus 5–10 spare copies for late attendees or damaged pages. Keep printer paper and pens available at the reception desk.
  • Test the laptop, display screen, projection screen, microphones, speakers, camera and livestream at least 24 hours before the meeting. Bring one spare HDMI cable, a power strip and an extension cord to handle last-minute layout changes.
  • Prepare name badges and notepads before doors open, and keep the presentation clicker, spare batteries and document copies together at the chair’s table. This prevents speakers from searching for basic materials during the meeting.

Frequently asked questions

How many chairs do I need for a municipal council meeting?
Provide one chair for every expected council member, speaker, staff member and audience attendee. Add 5–10% spare chairs; for 80 expected people, set out 84–88 chairs if the room allows.
How much coffee and water should I buy for a council meeting?
For a meeting lasting two to three hours, plan roughly 2 cups of coffee and 2 glasses of water per person, plus 10% extra. For 50 attendees, that means about 110 coffee cups and 110 water glasses.
How many copies of the meeting documents should I print?
Print one complete pack for each council member and speaker, then add 5–10 spare packs. Finish printing at least 24 hours before the meeting so missing pages can be replaced.
When should I test the microphones and livestream?
Run a full audio, display and livestream test at least 24 hours in advance, then repeat a short check 60 minutes before doors open. Test every table microphone, the camera, HDMI connection and power supply.
