Tips

  • Start with the chamber reservation and permit check, then set the agenda before sending invitations. Allow at least 2–3 weeks for public notice, registrations and document collection.
  • Set speaking times before confirming the speakers list. Send the final order and time limits to speakers early enough for them to prepare presentations that fit the meeting schedule.
  • Prepare council-member documents in two stages: collect and check the contents first, then print and deliver the final pack at least 2–3 working days before the meeting.
  • Test the laptop, display screen, microphones, camera and livestream together at least 1 hour before doors open. Check HDMI cables, power strips and extension cords rather than assuming the room equipment will work.
  • Finish the room setup before registration starts: position tables and chairs, place name tags, prepare the reception desk, and set out coffee cups, water glasses and catering. Keep spare pens and printed documents at the desk.
