- Check film rights before sending invitations. Rights or permission can take several days to arrange, so do not advertise a title until screening it publicly is covered.
- Download the film and test it at least one day before the event. Check the full film, not just the opening scene, with the actual projector, laptop, HDMI or audio cable and speakers.
- Plan the room around the screen and sightlines before setting out chairs. Leave clear access to the entrance, coat rack and exits, and keep extension cords and power strips where nobody can trip over them.
- Use the registration list to prepare for the audience rather than guessing. Confirm dietary requirements in advance, print the visitor list before opening the venue and set out snacks, cups and drinks where queues will not block the entrance.
