Tips

  • Plan two to three drinks per person for the first hour, then one to two more for each additional hour. Include water as well as hot drinks, and keep at least one cooler available for chilled bottles or cans.
  • For snacks, allow about 150–200 g per person for a two-film evening, divided between bowls so guests do not crowd one table. Put out serving spoons and plates before the first screening starts.
  • Count tableware against your guest list, then add 10% spare items. For 30 guests, that means at least 33 drinking glasses, coffee cups, plates and cutlery sets where each item is needed.
  • Test the projector, screen, laptop, speakers and audio mixer at least 24 hours before the event. Keep HDMI cables, extension cords, power strips, remote controls and spare batteries together so a missing connection does not delay the opening film.
  • Buy shelf-stable snacks several days ahead, but chill drinks and prepare coffee and tea on the day. Set out movie posters, a clapperboard, tablecloths and atmosphere lights after the technical setup so decorations do not block cables or equipment.
