Mountain run shopping list

A mountain run needs more than race numbers and medals. You will also need clear route markers, timing equipment, first-aid support, refreshments and practical supplies for volunteers and finishers. Plan quantities from your registration total, then add a small reserve for damaged bibs, extra cups and late changes. This list also covers the items people often remember only when setup has already started, such as extension cords, power banks and storage crates.

Tips

  • Order race bibs and finisher medals for every registered runner, then add roughly 5% spare bibs and a small number of extra medals for last-minute changes or damaged items.
  • Use route arrows at every junction and repeat markers before and after confusing sections. Pack kilometer markers, ribbons, cones and barriers together by course section so volunteers can place them quickly.
  • Prepare one timing setup with a laptop or tablet, stopwatches and power banks, plus chargers, extension cords and power strips. Test every device before leaving for the start area.
  • Plan refreshments by time rather than guesswork: allow two to three reusable cups per runner at each drink station, and fill coolers before volunteers arrive.
  • Pack volunteer and safety equipment in labelled storage crates. Keep walkie-talkies, megaphones, hand sanitizer dispensers and first-aid supplies accessible instead of buried under tables and event furniture.

Frequently asked questions

How many race bibs do I need for a mountain run?
Prepare one bib for every registered participant and add about 5% spare bibs. For 200 runners, that means 210 bibs, with matching straps and a clearly sorted reserve.
How many finisher medals should I order?
Order one medal per expected finisher, based on your registration list and course format. Adding 2–5% extra gives you cover for late registrations, damaged medals or volunteers who finish the course.
How many route markers are needed for a mountain run?
Count every turn, junction and section where runners could lose the route, then add markers before and after complex points. Pack at least 10% extra arrows, ribbons and cones so damaged or missing signs can be replaced during setup.
When should I buy supplies for a mountain run?
Order bibs, medals and printed materials at least 3–4 weeks before race day. Buy consumables and check equipment during the final week, then inspect power, timing and first-aid supplies 1–2 days before the event.
