What you need for a memorial run
A memorial run needs more than race numbers and water. You will also need clear route signage, visible traffic marshals, a reliable way to make announcements, and supplies for the memorial ceremony. Use the quantities below as a starting point, then adjust them to your registered runner count and route length. Buy or reserve printed materials, bib clips and finisher cards at least two weeks ahead so missing items can still be replaced.

Tips
- Prepare one bib number and two bib clips per registered runner, plus 5β10% extra for late registrations, damaged cards or replacements. Sort the numbers before event day so check-in volunteers are not searching through a box.
- Plan water for each runner at the start and finish, then add a water point on longer routes. A practical starting point is 250β500 ml per runner, with extra disposable cups and at least two volunteers assigned to each serving point.
- Use route arrows and signs at every turn, junction and confusing section, with one spare sign for roughly every ten installed. Traffic cones and crowd-control barriers should be placed the day before or early enough for a complete route walk-through.
- Give every traffic marshal and route volunteer a reflective vest and whistle. Put emergency numbers, route maps, pens and a clipboard in a clearly marked coordinator pack rather than leaving them on the registration table.
- Test the portable sound system, wireless microphones, extension cords and power strips at least one day before the ceremony. Keep charged power banks available, and bring LED lanterns or string lights if participants may arrive or leave in low light.
Frequently asked questions
- How much water do I need for a memorial run?
- Start with 250β500 ml per registered runner, depending on the distance and weather. Add extra water for volunteers and speakers, and keep a reserve of at least 10% for warm conditions or unexpected demand.
- How many bib numbers and clips should I buy?
- Prepare one bib number and two clips per runner, then add 5β10% spare supplies. For 100 runners, that means 105β110 bib numbers and 210β220 clips.
- When should I order memorial cards and finisher cards?
- Order printed cards at least two weeks before the run. That gives you time to check names, correct the memorial programme and replace a printing error before event day.
- What safety equipment is needed for the route?
- Provide reflective vests and whistles for every marshal, plus route arrows, signs, traffic cones and barriers for the full route. Complete a route check at least one week before the event and repeat it on the morning of the run.
