  • Book the room and confirm the route at least two weeks before the session. Check that there is enough space for the planned tables, chairs, presentation screen, and group exercises.
  • Close registration and dietary information several days before training. This gives you time to update the participant list, order catering, and print name badges, worksheets, programme cards, and attendance materials.
  • Test the full presentation setup before the day starts: laptop, projector, screen, HDMI cable, extension cord, power strip, and wireless presenter. A presentation that works on your laptop is not automatically ready for the room.
  • Prepare one complete materials set per participant, including worksheets, pens, pencils, erasers, sticky notes, and any exercise materials. Keep spare stationery and extra printed worksheets at the front of the room.
  • Plan the room setup before arrival and allow at least 45 minutes for tables, chairs, flip chart or whiteboard, presentation equipment, drinks, snacks, and work materials. Put water glasses and cups out before the first participant enters.
