- Book and check the venue early enough to confirm quiet rooms, seating capacity and access to power. Plan at least 60 minutes before arrival to open the building, ventilate the rooms and arrange the meditation space.
- Close registration before shopping for food, then update the participant list and record every dietary requirement. Label diet-specific meals separately before serving to avoid confusion at the meal.
- Prepare the reception desk near the entrance with the participant list, printed programme and a clear place for coats and shoes. Set up shoe racks and dressing room benches before the first guest arrives.
