Prepare one answer form, quiz booklet and clipboard for every team, then add at least 10% spare copies. Bring extra ballpoint pens as well, because missing pens can slow down an entire round.
Allow two to three drinks per person for the first hour, then adjust for the planned length of the quiz. Chill drinks before guests arrive and put out reusable drinking glasses, water jugs and bottle openers.
Test the laptop, projector, screen, speakers and wireless microphone at least 24 hours beforehand. Pack the correct HDMI cable, extension cords and power strips with the equipment instead of assuming the venue has them.
