  • Plan drinking water and feed capacity from the animal count, not the visitor count. Provide at least one water tub and feed setup for each enclosure or group that needs separate access, with spare capacity for late arrivals.
  • Allow two to three drinks per person during the first hour, then about one drink per person per hour. Buy extra reusable cups and keep coolers close to the serving point so volunteers are not carrying drinks across the site.
  • Match seating and serving supplies to the registration list. A practical starting point is one chair per seated guest, one plate and one set of cutlery per meal, plus 10% extra for replacements and unexpected visitors.
  • Do not leave power equipment until setup day. Count the coffee machines, kettles, speakers, microphone, chargers and other electrical equipment first, then bring enough extension cords and power strips to reach each operating area safely.
  • Buy or reserve awards and visitor-direction materials before registrations close. Trophies, ribbons, route signs, parking signs and animal-numbering materials often have longer lead times than food and disposable supplies.
