Tips

  • Test the complete audio setup at least one day before the event, including the laptop, mixer, active speakers, microphone, power strips and extension cords. Play every listening clip from start to finish rather than checking only that the files open.
  • Set a registration deadline several days before the evening so you can process attendance, collect dietary requirements and print name badges and the programme without rushing. Keep a few blank badges and pens at the reception desk for late changes.
  • Plan the room around clear listening and easy movement: place chairs facing the audio area, keep tables and the buffet out of the main sightline, and leave access to power points and cables. Ventilate the room before guests arrive, then check that no cable crosses a walking route.
  • Prepare refreshments before opening the venue. Chill drinks in coolers, arrange snacks on platters and fill thermos flasks so the reception desk is not left unattended while guests are arriving.
  • Bring spare audio cables and check them before setup, not after a connection fails. Label the cables and power strips during the sound check so the correct replacement can be found quickly in a dimly lit room.
