Tips
- Allow one table or display surface per exhibitor, then add at least two extra tables for refreshments, registrations and shared supplies. Confirm the final exhibitor count before hiring furniture.
- Plan for two to three drinks per visitor during the first hour. Provide reusable cups, coffee cups, glasses, pitchers, thermos flasks, coolers and ice packs so hot and cold drinks can be served without repeated trips.
- For food service, allow one plate, fork and napkin per serving, plus a 10% reserve. Add serving spoons, platters, trays with lids, bread baskets and cake stands so snacks can be replenished hygienically.
- Give clothing and accessories sellers a proper display setup: one clothes rack and at least one dressing table per relevant stall. Keep storage boxes and transport carts available for stock that should not remain on the floor.
- Prepare a separate payment kit for each cash register at least one day ahead. Include enough change for the first sales period, printed registrations, name badges and a printed floor plan; these are often forgotten until exhibitors arrive.
