  • Set the route and both meeting points before sending invitations. Request the route permit early, then coordinate traffic measures and create a simple route map showing turns, crossings and the finish.
  • Order lanterns and assemble the lantern poles after you know the expected participant count. Test every light, battery holder and power connection, and keep spare batteries and power banks available.
  • Give volunteers specific positions rather than a general instruction to ‘help’. Assign people to the start, rear of the parade, crossings, route signs and finish, with walkie-talkies or a clear contact system.
  • Prepare route signs and marker tape before the event day, then check the full route on foot. Place signs where a group could hesitate, especially at turns, crossings and points where the route is not visible from the previous section.
  • Do the final weather and safety check on the day itself. Confirm that tents, tables, lighting, high-visibility vests, barriers, traffic cones, flashlights and the first-aid kit are ready before participants arrive.
