What you need for a knowledge competition
A knowledge competition needs more than questions and a projector. You need one answer form and pen per participant, clear team and scoring materials, and enough tableware for the drinks and snacks you serve. Check the venueβs furniture and equipment before you shop: tables, chairs, power, speakers and a screen may already be available. Buy prizes early, chill drinks in time, and pack every quiz item together so nothing is left behind when you open the hall.

Tips
- Prepare one answer form and one working pen per participant, plus at least 10% extra. Keep spare pens at the registration desk rather than distributing them all at once.
- Plan drinks by service period: allow roughly two to three drinks per person for the first hour, then one to two per person for each additional hour. Chill them several hours before guests arrive.
- Check the venue equipment at least 3β5 days beforehand. Confirm the projector, screen, speakers, microphone, HDMI cable, extension cords and power strips all work together.
- Buy and wrap the prizes at least one week before the competition. This gives you time to adjust the number of prizes if teams or scoring categories change.
- Pack quiz materials in separate labelled groups: registration, team numbers, answer forms, score sheets and jury signals. Put calculators in the scoring pack if any round requires them.
Frequently asked questions
- What do I need for a knowledge competition?
- You need answer forms, pens, team number cards, score sheets and jury table signals, plus a laptop, projector, screen and presentation clicker. Also arrange tables, chairs, drinks, tableware and prizes before the event.
- How many pens and answer forms do I need per person?
- Prepare one answer form and one pen per participant, then add at least 10% spare. For 60 participants, pack 66 forms and pens so damaged or missing items do not stop a round.
- How much should I buy to drink at a quiz night?
- For the first hour, allow about two to three drinks per person; for every later hour, allow another one to two. Add coffee, tea and water, and chill drinks several hours before registration opens.
- When should I test the quiz equipment?
- Test the laptop, projector, screen, speakers, microphone and cables 3β5 days before the competition, then do a short final check when the room opens. Bring extension cords and power strips even if the venue says power is available.
