  • Check permits and reservations before sending invitations. Confirm the date, location, access times and any route or entrance requirements first, then open registrations with the correct capacity.
  • Set a clear registration deadline at least 7 days before the celebration. Use the final list to collect dietary requirements, plan food quantities and assign enough volunteers to each activity and service point.
  • Prepare the backup rain programme no later than 3 days before the event, after checking the forecast. Decide where party tents, tables and activities will move, and mark the alternative entrance and route.
  • Test the speakers, microphones, mixer and extension cords at the actual venue at least 24 hours beforehand. Check that power strips reach the sound position and that cables will not cross busy walkways.
