Kids' Disco Checklist

A kids' disco needs more than a playlist and a clear dance floor. This checklist takes you from booking the room and confirming registrations to checking allergies, testing the sound and setting up the lights. Plan the music for the children’s age group, keep parent contacts easy to find and leave enough time for practical checks before guests arrive. The final setup works best when the dance floor, snacks, toilets and emergency information are ready before the first child enters.

Tips

  • Set a registration deadline at least 7 days before the disco. Use the final list to record each parent’s contact details, dietary requirements and allergy information.
  • Build the programme around short activity blocks rather than one long dance session. For a two-hour disco, include at least one snack break and several quieter transitions.
  • Test the speakers, mixer, microphone, music player and lighting setup at least 60 minutes before opening. Check the sound level in the room, not just beside the equipment.
  • Keep the dance floor clear by placing tables and chairs around its edges. Set up a coat rack and waste bins before children arrive, so coats and rubbish do not end up beside the speakers.
  • Prepare drinks and snacks before the event starts, then chill the drinks and keep serving items together. Have emergency contacts and allergy details printed and accessible to the volunteers.

Frequently asked questions

How far in advance should I organise a kids' disco?
Book the room and check any music permit requirements at least 4 to 6 weeks ahead. Send invitations around 3 weeks before the event and close registrations about 7 days before it.
How long should a kids' disco last?
Allow 1.5 to 2 hours for the disco itself, with at least one planned snack and drink break. Add 60 to 90 minutes beforehand for room setup, sound testing, lighting and safety checks.
How much food and drink do I need for a kids' disco?
Plan roughly 500 to 750 ml of drinks per child for a two-hour event, plus extra water. Prepare around 3 to 5 small snack portions per child and confirm dietary requirements before shopping.
What should volunteers check before a kids' disco starts?
Give volunteers the contact list, emergency information and allergy details at least 24 hours before the event. Before opening, check the hall, toilets, dance floor, exits, sound level, lighting and snack area together.
