- Confirm the keynote speaker’s technical requirements before reserving equipment. Ask about file format, aspect ratio, microphone preference and connection needs at least 2 weeks before the event.
- Close registration and send the final attendee and dietary list to catering 3–5 days before the event. Keep a small buffer for late changes, but do not rely on same-day updates.
- Receive the final presentation no later than 2 days before the keynote and run it on the event laptop with the projector, screen, clicker and HDMI adapters. Test embedded video, audio and fonts rather than checking only the opening slides.
