  • Close employer participation and collect each company’s vacancies and profile details at least 3 weeks before the job fair. You need this information for the program, booth cards, visitor communication, and pitch assignments.
  • Open visitor registration no later than 2 weeks before the event, then review registrations daily during the final 5 days. Use the final count to confirm catering quantities, badges, seating, and reception staffing.
  • Create the floor plan and assign every employer a pitch location at least 7 days ahead. Keep registration, catering, presentation equipment, power connections, and walking routes visible on the plan rather than solving them during setup.
