A Jamboree needs more than food and drinks. You’ll need supplies for registration, shared meals, games, communication, weather changes, and keeping participants moving between activities.   • Use the confirmed participant list to calculate meals and drinks, then add about 10% extra portions for late additions, seconds, and damaged food. Keep dietary requirements separate and clearly labelled before lunch is served.
  • Buy or pack drinks at least one day ahead so coolers can be filled and everything chilled before registration starts. For the first hour, allow roughly two to three drinks per person, then adjust for weather and activity levels.
  • Count reusable plates, bowls, cups, mugs, and cutlery against the highest simultaneous meal count, not the total number of participants. A practical buffer is 10% extra, especially when there are several food stations.
  • Prepare a separate equipment box for extension cords, power strips, power banks, walkie-talkies, and megaphones. Test powered equipment and charge walkie-talkies and power banks the evening before, rather than during setup.
  • Pack weather and serving supplies together with the food plan: coolers for cold items, thermos flasks for hot drinks, serving utensils, cutting boards, knives, and food warmers. Keep a backup indoor or covered serving area ready if the forecast changes.
