  • Confirm the venue, date and prayer-room arrangement before booking other suppliers. Check whether the space can accommodate separate areas, partitions, a dressing room and a practical flow between dining and prayer.
  • Close the guest list twice: once before ordering invitations and again before final catering numbers. Collect dietary requirements during registration, then send the final count to the halal caterer before the agreed deadline.
  • Plan the room on paper before delivery day. Mark the welcome table, gift table, buffet tables, bride’s table, coat racks, high tables and any partitions so volunteers know where each item belongs.
  • Count tableware against the final guest number, not the initial estimate. Include dinner plates, dessert plates, bowls, cups, tea glasses, water glasses and cutlery, with a small spare allowance for breakage and late additions.
  • Create a delivery and setup schedule with named people and times. Confirm fresh produce, decorations, furniture and catering separately, and leave enough time to clean the venue before tables and decorations are installed.
