Installation ceremony checklist
An installation ceremony needs more coordination than the ceremony itself suggests. You need a confirmed room, accurate registrations, dietary information, prepared installation texts, badges and ties, and a clear setup schedule. Plan the formal program separately from the practical flow: furniture, ceremony materials, sound, refreshments and drinks all need checking before guests arrive. This checklist puts the work in a workable order and highlights details that are easy to leave until the last minute.

Tips
- Confirm the date and room before sending invitations, then set a registration deadline at least 7 days before the ceremony. Use the final registrations to collect dietary requirements and estimate seating, drinks and snacks.
- Review the program with the supervisors several days in advance. Prepare the installation texts, program cards, name badges and badge holders before the setup day rather than assembling them while guests are arriving.
- Create a setup schedule with named people and times. Allow at least 90 minutes before the start for tables and chairs, ceremony materials, the flag and decorations, the buffet and drinks table, and a complete sound check.
- Test the portable speaker, wireless microphone, charger, extension cords and power strips in the actual room. Do this before the event, because a microphone that works elsewhere may still have connection or volume problems in the ceremony space.
- Buy and chill drinks early enough to serve them cold, and prepare coffee, tea, snacks and pastries close to arrival time. Check that serving platters, small bowls, serving spoons, reusable cups and thermos flasks are available before setting out the buffet.
Frequently asked questions
- How far in advance should I plan an installation ceremony?
- Start the main planning at least 4 weeks before the ceremony. Confirm the date and room first, send invitations next, and close registrations about 7 days before the event so you can finalize dietary requirements, seating and refreshments.
- What should be ready before guests arrive at an installation ceremony?
- The room, tables, chairs, ceremony materials, flag and decorations should be fully set up at least 30 minutes before arrival. Badges, program cards, drinks, snacks and the tested microphone should also be in their final positions.
- How many drinks should I plan for an installation ceremony?
- For the first hour, plan on 2 to 3 drinks per person, including water, coffee, tea and other drinks. Add extra water for the ceremony itself and adjust the total after registrations and the expected duration are known.
- When should I test the sound equipment for an installation ceremony?
- Test the speaker and wireless microphone during the venue check, preferably 1 to 3 days before the ceremony. Repeat a short sound check during setup on the day, with the microphone positioned where it will actually be used.
