  • Reserve the room before sending invitations, then confirm that it has enough work tables, chairs, power access, and space for flip charts. A room layout that works for presentations may not work for group exercises.
  • Send the reminder after registrations close and include the start time, arrival instructions, dietary deadline, and anything participants must bring. Collect dietary requirements before ordering catering, not during final setup.
  • Test the laptop, projector, screen, HDMI cable, adapter, speaker, microphone, clicker, extension cord, and power strip together at least one working day beforehand. A cable that fits one device may not fit the presentation laptop.
