- Give performers a firm sign-up deadline, then send the confirmed schedule at least 7 days before the event. Keep a live audience list as registrations arrive instead of relying on scattered messages.
- Arrange the technical setup around the stage: test the speakers, mixer, wireless microphones, microphone cables, laptop, HDMI cables and extension leads together. Check every music file on the actual playback laptop before doors open.
- Assign separate people to the host, judges, performer check-in, refreshments and backstage changes. Ask volunteers to arrive early enough to check keys, deliveries, the cleared floor and the assembled stage before guests enter.
