  • Check the route on foot at least 7 days before the run and again on the morning itself. Mark every turn, kilometer point and potential hazard so volunteers are not improvising during the event.
  • Set a registration closing time 2–3 days before the run. Use the final participant list to sort bib numbers, prepare the volunteer schedule and print emergency contacts and route maps.
  • Give each course section a named volunteer and a communication method. A simple plan is one walkie-talkie or phone contact per key point, with a printed backup list at the start and finish.
  • Set up the finish area at least 90 minutes before the first start. Test stopwatches, microphones, megaphones, the sound system and any extension cords before participants gather.
  • Prepare more than the visible race equipment. Keep first aid kits, emergency blankets, spare safety pins, drinking water and snacks at the finish, and check that toilets are open before registration begins.
