How to organize a camping open day

Start by fixing the date, campsite and program before inviting anyone. Build the day around a clear visitor flow: arrival and parking, welcome, tours or demonstrations, food and departure. Registration gives you the numbers needed for catering, name badges, seating and volunteer shifts. Work backwards from opening time so signs, equipment, refreshments and weather arrangements are ready before the first visitor arrives.

Tips

  • Set the date, campsite and main program first, then open registration. Give yourself at least four weeks for invitations and registration, and close the form several days before the event so you can create a final visitor list.
  • Use registration data for more than attendance numbers. Collect dietary requirements, prepare name badges and pass the final dietary list to the kitchen at least 48 hours before the open day.
  • Plan arrival as carefully as the activities. Assign parking spaces, mark the route from parking to reception and put out route and parking signs before volunteers begin welcoming visitors.
  • Give every volunteer a written shift and a short briefing. Include who leads each tour, when demonstrations start, who handles questions and what to do if the weather changes.
  • Check power and shelter before event day, not during setup. Test coffee machines, kettles, speakers and microphones with the available extension cords and power strips, and place tents, tables and coolers according to the visitor flow.

Frequently asked questions

How far in advance should I plan a camping open day?
Start planning at least six weeks ahead. Reserve the campsite and check permits first, then allow four weeks for invitations and registration, with final catering and volunteer details confirmed 48 hours before the event.
When should registration close for a camping open day?
Close registration three to five days before the event. That leaves time to process registrations, confirm dietary requirements, print the visitor list and prepare name badges.
How many volunteers do I need for a camping open day?
Plan at least one clearly assigned volunteer for each active area, such as reception, parking, tours, demonstrations and catering. Add one floating coordinator for every 25 to 30 visitors so breaks and unexpected questions do not stop the program.
What should I do if the weather forecast changes?
Check the forecast 48 hours before the event and again on the morning itself. Confirm which activities can move under party tents, protect electrical equipment from rain and send visitors an update as soon as the program or parking arrangements change.
