How to organise an evening prayer
An evening prayer works best when the quiet parts and practical details are planned together. Start by fixing the date, confirming the prayer leader and musicians, and sending invitations early enough to collect registrations and dietary requirements. Build the programme around selected Bible verses, then prepare the printed materials and room layout. On the day, allow time to test microphones and speakers, prepare coffee and tea, and brief everyone leading a part of the service.

Tips
- Confirm the prayer leader and musicians before publishing the programme. Give them the running order, selected Bible verses and any instructions at least one week in advance.
- Set a registration deadline 3β5 days before the evening. Use the final list to check attendance, dietary requirements and the number of prayer sheets and programmes to print.
- Arrange the room in two stages: chairs and prayer materials first, then tables for the reception. Keep the welcome sign and participant list near the entrance so visitors know where to go.
- Test microphones, speakers, extension cords and lighting at least 60 minutes before guests arrive. Check the sound from the seats, not only beside the equipment.
- Prepare hot drinks shortly before the reception and chill other drinks in advance. Put cups, glasses, plates, teaspoons and serving spoons on the table before the prayer begins, so serving does not interrupt conversations.
Frequently asked questions
- How far in advance should I invite people to an evening prayer?
- Send invitations 2β3 weeks before the event and set a registration deadline 3β5 days beforehand. This gives you time to collect dietary requirements, print the participant list and prepare enough prayer sheets.
- How long should an evening prayer last?
- Allow 60β90 minutes for the prayer itself, depending on the number of readings, music and moments of silence. Reserve another 30β45 minutes afterwards for coffee, tea and informal conversation.
- When should I test the sound equipment for an evening prayer?
- Test the microphones and speakers at least 60 minutes before guests arrive. Ask the prayer leader and musicians to check their position, volume and any page turns during the same test.
- How many prayer sheets and programmes should I print?
- Print one copy per registered participant, plus 5β10% extra for visitors or damaged copies. For 40 registrations, prepare about 42β44 copies and keep a few pens at the entrance.
