  • Set a registration deadline at least 3–4 weeks before the market. Use the final participant list to assign booth spaces, send confirmations and identify artists who need access to power.
  • Draw the floor plan before hiring or collecting furniture. Allow room for tables, market stalls, clothes racks, queues and a clear route for transport carts, rather than filling every available metre.
  • Check electricity and weather no later than 7 days before opening. Distribute power outlets from a planned point, protect cable runs, and decide whether party tents or additional lighting are needed.
  • Send artists one final information message 3–5 days before the event. Include arrival and unloading times, booth numbers, the layout, available equipment and who to contact on the day.
  • Schedule setup backwards from opening time. Reserve at least 2 hours for opening the venue, cordoning off unloading, building stalls, setting tables and chairs, hanging booth numbers and checking coffee, payment and lighting equipment.
