How to organise an Advent service
Start by fixing the date, reserving the room and confirming the officiant and musicians. Then open registrations so you can track guest numbers, dietary requirements and volunteer coverage before planning the meal and room setup. The service itself needs an agreed liturgy, selected songs, readings and a children’s section, while printed materials and borrowed equipment should be checked several days beforehand. Leave the final day for setup, not decisions.

Tips
- Set the date and programme before sending invitations, then allow at least two weeks for registrations. Use the registration list to confirm the final guest count and dietary requirements before you finalise the menu.
- Confirm the officiant, musicians, readers and volunteers early. Give readers their texts at least seven days before the service and assign someone to welcome guests, manage the collection and support the children’s section.
- Finish the liturgy, prayers, readings and song selection at least one week in advance. Print song sheets, liturgies, prayer cards and name badges only after the wording and order have been checked.
- Plan the room around both worship and the meal: count chairs, tables, coat racks and buffet space against the confirmed guest number. Check microphones, speakers, music stands, coffee machines, kettles and soup warmers at least one day before.
- Do the shopping after checking the full list and dietary information, and collect borrowed materials no later than the day before. Keep extension cords and power strips away from walkways, and test every powered item before guests arrive.
Frequently asked questions
- How far in advance should I plan an Advent service?
- Start at least six weeks before the service. Reserve the room and confirm the officiant and musicians first, then allow two weeks for registrations and one week to prepare the liturgy and printed materials.
- When should I close registrations for an Advent service?
- Close registrations three to five days before the service. This gives you time to confirm the guest count, collect dietary requirements, finalise the menu and arrange enough chairs, tableware and volunteers.
- When should I print the Advent service programme?
- Print the liturgies and song sheets at least two days before the service, after the order, readings and songs are final. Keep a small number of spare copies for late arrivals or damaged sheets.
- How many volunteers do I need for an Advent service?
- Assign at least one person for welcoming and registrations, one for the collection, one for the children’s section and enough help for food and room setup. Add volunteers according to the guest count, with the assignments confirmed at least one week ahead.
