How to organise a youth Christmas market
A youth Christmas market needs more than decorated stalls and a festive playlist. Start by fixing the date and location, checking permits, setting a budget and confirming suppliers before inviting stallholders. Then build the market layout, programme and volunteer rota around the space and expected visitor flow. Food requirements, power, cash handling and children’s activities are easy to leave too late, so set deadlines for each one. Use the plan below as your working order, from the first decisions to the final shopping check.

Tips
- Set the date, location, permit requirements and budget first. Do this at least 8 weeks before the market so you can reserve tents, tables, stalls, lighting and other equipment before availability becomes a problem.
- Give stallholders a firm registration deadline, ideally 4–6 weeks before the event. Ask for dietary requirements at the same time, then send confirmed arrival times, stall positions and practical instructions no later than 7 days beforehand.
- Draw the floor plan before assigning equipment or volunteers. Mark entrances, children’s activities, food and drink areas, cash points, power outlets and clear walkways; leave enough space for queues around tables and market stalls.
- Test every powered item at least 3 days before opening. Check extension cords, power strips, speakers, the microphone, coffee machines, kettles, warming kettles and string lights together rather than discovering a missing connection during setup.
- Prepare the operational details during the final week: name labels, price tags, cash boxes, calculators, cash, table linen, decorations and the shopping list. Assign volunteers in shifts, with at least one person responsible for the programme and one for safety or practical problems.
Frequently asked questions
- How far in advance should I organise a youth Christmas market?
- Start planning 8–10 weeks before the market. Confirm the date, location, permits and budget first, then reserve suppliers and invite stallholders by about 6 weeks before the event.
- How many volunteers do I need for a youth Christmas market?
- Plan at least 1 volunteer for each active area, plus 2 people for setup and general problems. For a market with 10 stalls and separate activities, begin with around 8–12 volunteers and divide them into shifts.
- When should stallholders receive the market information?
- Send the registration details 4–6 weeks before the event and confirm accepted stalls within 7 days of the deadline. Share stall positions, arrival instructions, power information and final timings at least 1 week before opening.
- When should I test the lighting and electrical equipment?
- Test cables, power outlets, extension cords, power strips and lighting 2–3 days before the market. Do a second check during setup, before visitors arrive, with all connected equipment switched on.
