How to organise a winter festival without last-minute problems
Start your winter festival plan with the date, location and practical limits of the site. Check permits before inviting anyone, then secure heating, lighting, catering and other suppliers while availability is still good. Build the programme around the market stalls, food service and indoor or tented areas, and assign volunteers before setup day. Cold weather, dietary requirements and refrigerated storage need decisions earlier than most organisers expect.

Tips
- Check permits and the site layout before sending invitations. Mark where party tents, market stalls, tables and chairs will go, and leave clear routes between stalls and exits.
- Reserve heating, lighting and tents as soon as the date is confirmed. A weather forecast is only useful near the event, so keep a backup plan for wind, rain and freezing temperatures.
- Collect dietary requirements during registration and give the final numbers to catering on an agreed deadline. Order enough soup bowls, plates, reusable glasses and coffee cups for the busiest serving period, not just the expected average.
- Create the programme and volunteer rota at least 7 days before the festival. Give each volunteer a specific shift and area, including food service, guest registration, weather checks and emergency contacts.
- Do the final stock check 24–48 hours before opening. Store groceries refrigerated, check soup kettles, food warmers, thermos flasks, coffee machines and kettles, and print route signs, menus and name badges before setup begins.
Frequently asked questions
- How far in advance should I organise a winter festival?
- Confirm the date and location at least 8–12 weeks ahead. Check permits and reserve heating, lighting, tents, catering and other suppliers before sending invitations.
- When should I check the weather for a winter festival?
- Check the forecast 7 days before the event, then again 48 hours and 24 hours before opening. Use the final checks to confirm heating, tent arrangements, clothing guidance and any changes to the programme.
- How many volunteers do I need for a winter festival?
- Plan at least one named volunteer for each active area per shift: registration, food service, stalls, setup and emergency coordination. Finalise the rota at least 7 days ahead and add cover for breaks and bad-weather tasks.
- When should I collect dietary requirements?
- Ask for dietary requirements during registration and close the first collection at least 14 days before the festival. Send the final list to catering 5–7 days before the event, then recheck it when registrations close.
