  • Choose the tournament format before sending invitations. A round-robin, pool stage or knockout bracket changes the number of matches, court time and officials you need.
  • Build the schedule backwards from the venue booking. Include time for team check-in, warm-up, court changes and delays; a match plan with no buffer usually falls behind after the first problem.
  • Set a registration deadline and confirm teams after it closes. Collect dietary requirements at the same time, then print team lists and match forms before event day rather than during check-in.
  • Assign each court a named referee, scorer and volunteer. Keep spare volleyballs, a pump, needles, pens and score sheets at the scoring table so a small equipment problem does not stop play.
  • Open the venue early enough to inspect the floor and set out the courts before players arrive. Check nets, posts, court lines, anti-slip mats, scoreboards, microphones and extension leads before the first whistle.
