Tips

  • Set the registration deadline early enough to leave at least 7 days for confirming participants, collecting music and checking dietary requirements. Keep one contact detail and one technical requirement for every act.
  • Create the running order only after you know each performance length and setup needs. Leave 5 to 10 minutes between acts that require major equipment changes, and send the final order to participants before show day.
  • Write the judging criteria before approaching the jury, then put the same criteria on every jury form. Three to five clear categories are easier to score consistently than a long list of vague qualities.
  • Run a full sound and lighting check with the mixer, speakers, monitors, wireless microphones, laptop and music player before the audience arrives. Test every extension cord, power strip and spare battery rather than discovering a fault during the first act.
  • Prepare the venue for movement as well as appearance: mark the stage steps, cable routes and audience directions, and place jury tables where judges can see the stage. Keep prizes, presentation texts and the run sheet together so the host can work without searching.
