- Scout the full route before sending invitations, including every rest stop and the return path. Check the alternative route as well, so a closure or unsafe section does not force a last-minute decision.
- Send participant information several days before the walk. Include the meeting point, arrival time, route length, rest-stop plan, silence rules, weather guidance and what to do if someone stays behind.
- Assign at least one person to registration and one guide to the walk. Keep waterproof walkie-talkies, charged phones and power banks available; silence makes quick non-verbal coordination harder.
- Prepare the welcome area before participants arrive: set out the attendance list, clipboards, pens, route maps and a visible welcome sign. Explain the route and house rules once, before the group leaves.
