How to organise a painting contest from start to finish

A painting contest runs smoothly when the creative work is planned around a clear schedule. Start by fixing the concept, venue, date and rules, then open registration early enough to confirm numbers, dietary requirements and judging capacity. Before participants arrive, set up one registration point, one complete painting station per entrant and a separate area for drying finished work. This plan covers the practical sequence, including lighting, power, supplies, refreshments, judging and certificates.

Tips

  • Write the rules before sending invitations. State the painting time limit, canvas or format, permitted materials, judging criteria, tie-break procedure and when entries must be handed in, so participants do not receive conflicting answers on the day.
  • Set up each painting station as a complete unit: easel, canvas, acrylic paints, brushes, mixing palette, water cup, pencils, erasers and an apron. Prepare at least one spare set for damaged or missing materials instead of opening the shopping list during registration.
  • Allow 45–60 minutes before doors open to clean the venue, arrange tables and chairs, place the registration desk, protect surfaces with table film and painter’s tape, and test extension cords, power strips and battery lamps.
  • Use participant labels and race numbers at check-in, then match the same identifier to the evaluation form and drying-rack position. This prevents judges from scoring names, and it makes it possible to return paintings to the correct person.
  • Schedule judging only after the painting deadline, not during the final minutes. Give judges 20–30 minutes to review entries, while drinks and catering are ready and finished paintings remain undisturbed on the drying racks.

Frequently asked questions

How far in advance should I organise a painting contest?
Fix the venue, date and competition concept at least 6–8 weeks ahead. Open registration once the rules, judging panel and maximum number of participants are confirmed, and place prize and catering orders after registration numbers are reliable.
How much time do you need to set up a painting contest?
Allow 45–60 minutes for the room setup and another 15 minutes to test lighting and power. Arrive early enough to position every easel, protect tables, prepare the registration desk and distribute supplies before participants enter.
What supplies does each painting contest participant need?
Prepare one canvas, acrylic paint set, brush set, mixing palette, water cup, apron and basic drawing tools per participant. Add at least 5–10% spare supplies, especially brushes, water cups and canvases, for breakage or late changes.
How do you judge a painting contest fairly?
Give judges written evaluation forms with the criteria and scoring scale before judging starts. Keep participant names off the artwork, use race numbers instead, and reserve 20–30 minutes for independent scoring before comparing results.
