How to organise a health fair from start to finish
A health fair needs more than a row of exhibitor tables. Start by fixing the venue, date and room layout, then build a programme around confirmed exhibitors and speakers. Registration, dietary requirements and visitor information should be handled before you order catering or print materials. Allow time to test presentation equipment and prepare workshop supplies, because technical gaps and unclear visitor flow are common problems on the day.

Tips
- Set the room layout before confirming every table. Leave clear routes between trade fair tables, the registration desk, seating and workshop areas, and check that power points reach laptops, the projector, microphones and other equipment.
- Confirm exhibitors and speakers before publishing the programme. Send each exhibitor the arrival time, table arrangement, equipment limits and visitor information they need at least 7 days before the fair.
- Close registration 2β3 days before the event if you need a reliable visitor list, name badges or dietary information. Keep a small walk-in allowance, but do not base catering quantities on unprocessed registrations.
- Test the full presentation setup before opening: projector, screen, laptops, speakers, mixer, wireless microphones, stands, extension cords and power strips. Test handheld microphone batteries as well, rather than checking only the microphones.
- Plan refreshments around the programme, not just attendance. Set up coffee machines, kettles, coolers, cups, glasses, plates and serving items before visitors arrive, and place waste bins near both the catering area and exhibitor zone.
Frequently asked questions
- How far in advance should I organise a health fair?
- Start at least 8β12 weeks ahead. Confirm the location and date first, then allow time to contact exhibitors and speakers, publish registration, arrange catering and print visitor materials.
- How do I plan the layout for a health fair?
- Create a room plan 4β6 weeks before the event, showing trade fair tables, chairs, the registration desk, presentation area and clear walking routes. Mark power access and keep the entrance free for check-in.
- When should I send health fair invitations?
- Send the first invitations 3β4 weeks before the fair, then send a reminder 5β7 days beforehand. Include the programme, directions, registration deadline and any information visitors need to provide.
- When should I test health fair equipment?
- Do a complete equipment test at least 24 hours before opening, or earlier if the venue allows it. Repeat a short microphone, projector and laptop check during setup on the event day.
