How to organise a game night that runs smoothly
A good game night depends on more than putting board games on a table. Start by confirming the room, guest numbers and dietary requirements, then build a schedule around the games you can actually explain and run. Check every game and borrowed item before the day, and plan separate areas for playing, drinks and coats. On arrival, give guests a clear layout and timetable so the first round can start without a long wait.

Tips
- Build the games schedule only after checking the games, dice, timers and score sheets. Allow at least 10 minutes between rounds if players need to change tables or learn new rules.
- Set up the room in zones: game tables in the main area, a separate buffet and drinks table, and a coffee and tea station away from active games. Leave one clear route for arrivals and coats.
- Check borrowed games and equipment at least 24 hours before the event. Missing cards, dice or player pieces are much harder to replace once guests have arrived.
- Prepare name badges, printed rules and score sheets before setting up the tables. Put the rules and layout on an information board so you do not have to repeat the same instructions all evening.
- Chill drinks and prepare snacks before guests arrive, but keep serving bowls, plates and cutlery accessible. Set out waste bins near the food and drinks areas to reduce spills and clearing-up during games.
Frequently asked questions
- How far in advance should I plan a game night?
- Confirm the room and send invitations at least 2–3 weeks ahead. Collect registrations and dietary requirements several days before the event, then finalise the games schedule once you know the numbers.
- How many games do I need for a game night?
- Plan one main game for each table or group, plus at least 2 backup games for delays, different player counts or changing interests. Check the recommended player numbers before assigning games.
- How early should I arrive to set up a game night?
- Allow at least 90 minutes for a room with several game tables. You need time to arrange tables and chairs, set out games, prepare food and drinks, test lighting and music, and display the rules.
- How do I organise game tables for different games?
- Assign each table a game, player limit and start time, then display that information where guests can see it. Leave 10–15 minutes between rounds if players need to move or reset the equipment.
