  • Secure the venue, date, permit and insurance before inviting exhibitors. Allow at least 6–8 weeks for applications, terms and any changes requested by the venue or local authority.
  • Plan the layout around stall sizes, customer flow and power access. Mark positions for market stalls, tables, coolers and sampling areas, then check every outlet and use extension cords and power strips safely.
  • Give exhibitors one clear information pack at least 2 weeks before the market. Include arrival and setup times, stall position, payment arrangements, labels, dietary information and what they must bring.
  • Test every sales and sampling point before the event, not on opening morning. Check card machines, cash registers, weighing scales, kettles, coffee machines, thermos flasks and sample-serving equipment with the actual power setup.
