  • Set the timetable before preparing exercises. Allow time for registration, an introduction, technique demonstrations, at least two working blocks and a closing share-out; otherwise the creative work is usually cut short.
  • Close registration several days before the workshop and turn responses into one participant list. Collect dietary requirements at the same point so refreshments and seating are not arranged from incomplete information.
  • Prepare one printed assignment pack per participant, plus a small spare stack. Print sheet music and worksheets before the event day, and keep them in labelled ring binders rather than sorting pages at the reception table.
  • Run a full technology check at least 60 minutes before participants arrive. Test the projector, speaker, microphone, audio recorder and every power strip, then keep extension cords and charging cables where they cannot become a trip hazard.
  • Give each workstation its own writing materials and musical tools before opening the room. A table with a notebook, pencils, eraser and any required instrument or MIDI keyboard lets the group begin immediately after the programme explanation.
