How to organise a book presentation from start to finish
Start by fixing the date, venue and running order before inviting anyone. Then confirm the author and speaker, estimate book stock, and build the guest list through invitations and registrations. A book presentation needs more than chairs and a microphone: test the presentation files, prepare book sales and collect dietary requirements in advance. On the day, open the venue early enough to set up seating, refreshments, the presentation table and a reliable checkout point.

Tips
- Set the running order before sending invitations, including the welcome, author talk, reading, questions, book sales and closing time. Allow at least 15 minutes between programme sections if guests need to move or browse.
- Order books only after checking expected attendance and sales plans. Keep a written count of delivered copies, display copies and books reserved for pre-registered guests.
- Test the laptop, beamer, projection screen, wireless microphones and speakers together at the venue, not separately at home. Bring extension cords, power strips and cable mats so connections do not cross walkways.
- Close registration and confirm attendees at least 48 hours before the presentation. Use that final number to adjust catering, coffee, glasses, plates and dietary alternatives.
- Open the venue 90 minutes before guests arrive. Use the first 30 minutes for room checks and furniture, the next 30 for technology and the final 30 for books, drinks and the presentation table.
Frequently asked questions
- How long should a book presentation be?
- Plan 60 to 90 minutes for the formal programme, followed by 30 to 60 minutes for questions, signing or book sales. A typical running order gives the author 20 to 30 minutes and leaves at least 15 minutes for audience questions.
- How many books should I order for a book presentation?
- Start with one copy per confirmed guest who has expressed interest, then add 10 to 20 percent for walk-in sales and extra purchases. Recheck the count 7 days before the event, when registrations and reservations are more reliable.
- When should invitations for a book presentation be sent?
- Send the first invitations 3 to 4 weeks before the event and send a reminder 3 to 5 days beforehand. Send press invitations at least 2 weeks in advance so there is time for responses and follow-up.
- How early should I arrive to set up a book presentation?
- Arrive 90 minutes before doors open if the room, seating, refreshments and presentation equipment all need setting up. Add another 30 minutes if you must collect keys, arrange several rooms or troubleshoot unfamiliar technology.
