Halloween Market Checklist

A Halloween market needs more than decorated stalls and pumpkins. You need to secure the venue, confirm stallholders, check permits and power, and give suppliers enough time to deliver. This checklist takes you from the first booking decisions through to opening the tents, stalls, lighting and information board. It also covers the details people often leave too late, such as dietary requirements, payment equipment, chilled drinks and a workable layout for visitors and vendors.

Tips

  • Confirm the date and location before inviting stallholders, then allow at least 2–3 weeks to process booth reservations and registrations. Ask for dietary requirements as soon as people sign up, not during setup.
  • Draw the market layout before hiring or moving furniture. Mark every market stall, table, chair, high table, tent, power outlet and visitor route so extension cords and power strips do not become a last-minute problem.
  • Check permit requirements and supplier arrangements at least 4 weeks before the market. Confirm who is providing tents, stalls, lighting and food equipment, and keep written details of delivery and collection times.
  • Buy and sort pumpkins, decorations, reusable cups, plates, cutlery and serving equipment several days before the event. Prepare snacks and chill drinks on the day before where possible, leaving only final assembly for opening morning.
  • Set up in a fixed order: open the venue, put up tents, arrange tables and chairs, install stalls and lighting, then hang decorations and place the information board. Keep the payment terminal, cash box, megaphone and spare power supplies accessible from the start.

Frequently asked questions

How early should I start planning a Halloween market?
Start at least 6–8 weeks before the market. That gives you time to confirm the venue, check permits, contact stallholders, process reservations and order any tents, stalls or equipment.
How many stalls fit in a Halloween market?
The number depends on the venue and the footprint of each stall, so draw the floor plan before confirming spaces. Allow a clear visitor route and keep at least 1–2 accessible paths rather than filling every available area.
When should I check permits and power outlets for a Halloween market?
Check permit requirements and power outlets at least 4 weeks before the event. Test the available sockets before setup day and match each lighting or coffee-making item with the correct extension cord or power strip.
When should I prepare food and drinks for a Halloween market?
Buy and sort the supplies several days ahead, prepare snacks the day before when food safety allows, and chill drinks overnight. Set out pitchers, serving platters, cups and cutlery after the stalls and tables are in place.
