  • Set the date, programme and rooms before contacting speakers or publishing registration. Allow at least 8–12 weeks for a multi-session government congress so invitations, hotel rooms and transport can be arranged without rushing.
  • Set a firm deadline for registrations and dietary requirements, then give the caterer the final headcount several working days before the event. Keep a separate count for speakers, staff and attendees if meals or seating differ.
  • Ask speakers for their presentation files before the congress, not when they arrive. Collect the final decks at least 48 hours in advance and test them on the laptops, projectors, screens, microphones and clickers you will use.
