What you need for a golf networking day

A golf networking day needs more than clubs and golf balls. You will also need supplies for registration, refreshments, scoring, signage and a comfortable reception area before and after the rounds. Plan quantities from your confirmed participant count, then add a small buffer for drinks, printed materials and lost equipment. The shopping list below covers the items most often forgotten until setup day, including coffee service, serving equipment and spare pencils.

Tips

  • Plan two to three drinks per person for the first hour, then one drink per person per additional hour. Chill bottled drinks in coolers before guests arrive and keep a separate supply of water available on the course.
  • Bring one scorecard and one pencil per player, plus at least 10% extra. For 40 participants, pack 44 scorecards and pencils so a missing or damaged item does not delay the first tee time.
  • Match tableware to the catering format: allow one plate, one dessert plate, one cutlery set and one water glass per guest, with at least 10% extra. Add coffee cups and wine glasses only if those drinks are on the confirmed menu.
  • Prepare registration materials at least one day ahead. Print the participant list, fill out name badges and pack spare badges, pens and signage so late arrivals can check in without interrupting the golf schedule.
  • Check hired or borrowed golf equipment 24 hours before the event. Count club sets, golf balls and tees, and keep a small reserve of balls and tees at the reception desk rather than discovering shortages on the course.

Frequently asked questions

How many golf balls and tees do I need per player?
Plan for at least three golf balls and six tees per player for a networking day, then add 10% spare stock. For 40 players, that means 132 golf balls and 264 tees.
How much drinking water should I buy for a golf networking day?
Allow at least 1.5 litres of water per player for a half-day event and 2 litres for a full day, adjusted for heat and walking distance. For 40 players, buy 60 to 80 litres and keep some chilled at registration.
How many name badges and scorecards should I prepare?
Prepare one name badge and one scorecard for every registered participant, plus 10% extra. For 40 participants, prepare 44 of each to cover late registrations, damage or replacements.
When should I buy or prepare the event supplies?
Confirm quantities after registrations close, ideally seven days before the event. Finish printing, badge preparation and equipment checks at least 24 hours before guests arrive, while drinks and perishable catering items can be handled on the day before setup.
