  • Confirm the judge, judging categories and inspection format before opening registration. Participants need to know what they are entering, and you need the categories to create a workable inspection order.
  • Check water access and animal-care facilities during the site visit, not the week of the event. Plan water tubs, drinking water tanks, feed bowls, pens and hay racks where handlers can reach them without crossing visitor routes.
  • Send participant information as soon as entries are confirmed. Include arrival instructions, assigned animal numbers, the inspection order, parking details and any requirements for collars or show lines.
  • Set the site layout before hiring or reserving equipment. Allow space for the registration desk, inspection rings, tents, tables, seating, crowd barriers, animal pens, toilets and a separate route for manure and cleaning equipment.
  • Arrange veterinary cover, volunteers, catering and prizes against fixed deadlines. These are easy to postpone while registrations are open, but difficult to replace once the event week has started.
