Gift market checklist: what to arrange and when
A gift market needs more than tables and sellers. You need a clear stall layout, confirmed participants, sales terms, weather cover and a practical plan for power, payments and visitor flow. Start with the venue, date and permits, then confirm registrations before ordering tables, tents and signage. Use this checklist to keep the market organised from the first booking through setup and opening time.

Tips
- Set the venue, date and permit requirements before inviting sellers. Check whether tents, temporary signs, amplified sound or outdoor trading need approval, and allow at least four weeks for permit questions.
- Confirm the stall plan before making table reservations. Number every location and record the table size, power access and any dietary information needed for refreshments so sellers receive one accurate information pack.
- Send final participant information at least seven days before the market. Include arrival and unloading times, booth numbers, sales terms, parking or access instructions, and who to contact on the day.
- Prepare payments and refreshments the day before. Test payment terminals, count change, chill drinks, check coffee machines and kettles, and keep extension cords and power strips together with the equipment they serve.
- Do the grounds inspection before putting up tents. Check the forecast 24 hours beforehand, identify trip hazards, place route signs and barriers, and keep work lights, flashlights and spare batteries ready if setup or trading runs into low light.
Frequently asked questions
- How far in advance should I organise a gift market?
- Start planning at least eight weeks before the market. Set the venue, date and permit requirements first, then give sellers enough time to register and confirm their stall needs.
- When should I invite gift market sellers?
- Invite sellers as soon as the venue, date and basic sales terms are settled, ideally six to eight weeks ahead. Close registrations early enough to update the participant list and finalise the stall layout.
- How many tables and tents do I need for a gift market?
- Plan one confirmed stall position per participating seller, then match each position to the agreed table and tent size. Finalise the count at least two weeks before the event so reservations, numbering and layout can be checked together.
- When should I check the weather for an outdoor gift market?
- Check the forecast 48 hours before the market and again on the morning of setup. Use the result to confirm tent arrangements, protect equipment and decide whether extra lighting, barriers or ground checks are needed.
