Tips

  • Plan around 2–3 drinks per visitor for the first hour, then add roughly 1 drink per person for every additional hour. Chill the first batch before opening and keep spare drinks in coolers.
  • Allow one reusable cup and one plate per expected visitor, plus about 10% extra for replacements and visitors carrying items between areas. Set out serving tongs and platters before catering arrives.
  • Prepare one registration setup for every busy entrance point: a foldable table, chairs, payment terminal if needed, wristbands or vests, pens and the final visitor list. Put route signs and crowd barriers out before doors open.
