Food Congress Planning Checklist

A food congress needs more than a strong programme and interesting speakers. You also need a reliable registration process, suitable conference furniture, presentation equipment, catering and a clear plan for dietary requirements. Start with the date, venue and programme, then move through speakers, invitations and participant information. In the final week, confirm presentations, prepare name badges, check fresh produce and test every microphone, cable and projector before guests arrive.

Tips

  • Set the date, programme and venue before inviting speakers or participants. Allow at least 8–12 weeks for speaker confirmations, catering arrangements and registration setup.
  • Ask speakers for their biographies, presentation files and technical requirements no later than 7 days before the congress. Test the laptop, projector, screen, microphones, mixer and presentation clicker before doors open.
  • Close or review registration 7 days before the event so you can give the caterer an accurate headcount. Collect dietary requirements at the same time and reflect them in the menus.
  • Prepare the registration desk, name badges and participant materials at least 1 day in advance. Keep route and parking information with the confirmation message so fewer guests need help on arrival.
  • Separate non-perishable supplies from fresh produce during setup. Check coffee machines, kettles, cups, glasses, plates and serving utensils before catering begins, then pack cables and equipment together after the programme ends.
