Flower market checklist: what to arrange and when

A flower market needs more than flowers and a row of tables. You need to coordinate exhibitors, stall space, power, payments, waste collection and the care of flowers before visitors arrive. Start with the date and venue, then confirm sellers and registrations before planning the layout and equipment. Use the final week for shopping, cash, signage and flower collection, and keep setup tasks in a clear order on market day.

Tips

  • Set the date and venue before inviting exhibitors. Allow at least 4–6 weeks to collect registrations, confirm dietary requirements and build a workable stand layout.
  • Confirm power requirements with each exhibitor and reserve outlets early. Keep extension cords, power strips and battery chargers available, and test card machines and other payment methods before opening.
  • Plan the stall layout around the flowers and equipment, not just the tables. Leave clear visitor routes, position flower buckets and display racks securely, and place price tags where shoppers can read them without asking.
  • Collect or buy flowers as close to opening as practical, then keep them in clean, filled buckets and out of direct heat. Arrange scissors, pruning shears and other preparation tools at the relevant stands before sellers arrive.
  • Finish the cash, signage and waste plan before market day. Withdraw the required cash at least one day ahead, prepare route signs and prizes, and confirm when waste will be collected so bags and bins do not remain in the market square.

Frequently asked questions

How far in advance should I organise a flower market?
Start planning at least 4–6 weeks before the market. That gives you time to reserve the space, invite exhibitors, process registrations and arrange power, waste collection and promotion.
How many exhibitors can fit in a flower market?
The number depends on the space and the size of each stand, so create the layout before confirming the final count. Leave clear walking routes and allow extra room for tables, chairs, flower buckets and display racks.
When should I pick up the flowers for a flower market?
Collect flowers as close to opening as possible, usually on the same day or the day before. Store them in water and away from heat, then prepare displays after the tents, tables and booths are in position.
What should I test before a flower market opens?
Test every payment method at least 1 day beforehand, then check the card machines, cash registers, power connections and battery chargers during setup. Also verify the price list, route signs and stand labels before visitors arrive.
