- Book the room and florist before sending invitations. Confirm the room access time and key arrangements no later than the day before, so setup does not depend on finding someone at the last minute.
- Ask for dietary requirements when people register, then confirm the final participant list before ordering flowers and refreshments. A final headcount at least 3 days before the workshop gives you time to adjust quantities.
- Check every workstation before participants arrive. Each person needs a stable work table, chair, cutting tools, a bucket or pitcher, and enough space for flowers, water and a finished arrangement.
