  • Set the date, opening hours and venue before inviting sellers. Check permit and insurance requirements at the same time; approvals can take several weeks, depending on your area.
  • Close vendor registration before assigning spaces. Allow at least 3–5 days to sort seller numbers, table counts, dietary requirements and confirmation messages.
  • Count tables, chairs, clothing racks and benches against the confirmed vendors, then add a small reserve. A missing table or rack is difficult to replace once setup has started.
  • Prepare payments before shopping day: order cash, test payment terminals and pack spare batteries, power strips and extension cords. Keep a separate float for each cash register.
